Introduction

This section of the end user documentation will explain how to access the Tolven applications and how to create a user name and password. The Tolven applications are web-based solutions that can be accessed using the latest versions of either Internet Explorer or Firefox browsers.

Your system administrator will provide you with a web address (i.e., URL) to enable you to access the Tolven applications securely. Tolven provides a demonstration environment that can be used for training purposes, which can be found at: Tolven Demonstration System.

NB:Do not use the Tolven demonstration system referred to above for real patient data. While every attempt is made to keep this end user application manual up-to-date, the demonstration system has the latest release of software installed on it, which may have additional features or functionality not included in this manual.

Creating a User Name and Password

Access the Tolven application “Home Page” by either using the URL provided by your system administrator or the URL provided above. From the Tolven application “Home Page” click on the “Register New User” link, which is located below the user name and password prompts.

Complete all the registration details requested on the registration screen. Your system administrator will provide you with the Organization Unit Name and Organization Name to be used during the registration process.

Once the registration process has been completed, the user can click on the “Register” button at the bottom of the page. Clicking the "Register" button will trigger the sending of a confirmation e-mail to the e-mail address used as part of the registration process. This e-mail will contain a URL that is used to verify the identity of the individual creating the user-name and password for the system.

The e-mail invitation sent to the e-mail address used in the registration process may have an expiration time set to a matter of minutes or hours. The user is notified of the time that the invitation will expire in the e-mail. Using the URL included in the e-mail sent during the registration process, return to the Tolven application “Home Page” and log in using the user name (e-mail address) and password that were selected during the registration process.

Account Sponsorship

When enabled by the system administrator on a specific Tolven implementation, Account Sponsorship requires a user to input a unique alphanumeric key provided by the Account Administrator to create an account. The unique alphanumeric key can be created by an Account Administrator using the “Account Sponsorship” function located in application “Preferences.”

The unique key is created by typing in the e-mail address of the user that the System Administrator is allowing to create a user name and password. The code can then be sent to the user.

Unlike the e-mail invitations (see Note, below), the unique key does not expire. Therefore, if users do not complete the registration process before the invitation link expires they can simply repeat the process using the same unique key.

The system administrator can set an expiration time for e-mail invitations. This means that if the URL that is e-mailed to the person that created a new account is not used to activate the account within a specific period of time, the registration process will be canceled. If this happens, the person that created the account can simply repeat the process of registration and activate the account within the given time.

Using the User Name and Password

Once the user name and password have been created successfully, users can return to the Tolven application “Home Page” at any time and enter their user name and password to access the system.

Password Recovery

Users of the Tolven system can set up their own password recovery questions. This enables users to re-set their password should they lose it.
